Plan an Event

The Carter School Community comes alive when we are able to gather together for events, either internally or publicly.

This is particularly true when the event is well planned, appropriately funded, well organized, well publicized, well attended, and is relevant to the goals and mission of the School. To properly plan, fund, organize, and publicize our events, requires hard work and a significant amount of preparation. The policies laid out here help to streamline the event planning process and ensure that everything runs as well and as smoothly as possible.

Spaces Available

Vernon Smith Hall - Mason Square in Arlington

Room 5183 
Capacity 36: Technology available – smart board, two projectors, sound system, stationary computer 

Room 5145 
Capacity  25: Technology Available – Video/Phone Conferencing, stationary computer, dual TV screens, projector/screen, microphones, speakers

Room 5000 
Capacity 10: Technology available – Projector/screen, stationary computer, web camera, speakers 

Requests for room reservations will be honored on a first come, first serve basis for internal Carter School events. 
To schedule and plan an event will require at least two weeks prior notice. This is to help ensure that there is enough time to promote and plan the event to make it a success. Please note, while the minimum requirement is two weeks, the recommended time to plan an event is 6 weeks.

Conference rooms 5000 and 5145 are available for meetings, and may be requested at any time by emailing tcsevent@gmu.edu.  Room reservations for meetings that request technology assistance are required to give at least 48 hours prior notice.

To request additional information about these spaces, room reservations, or receive a consultation about planning an event on in Mason Square please email tcsevent@gmu.edu.

If you are interested in hosting an event through the Carter School, the first step is to fill out the event request form. Once your request has been received, the Event Manager will be able to work with you on coordinating all necessary details.

Van Metre Hall - Mason Square in Arlington

All spaces in Van Metre Hall are booked through The Office of Events Management. You can either contact them directly, or go through the Carter School Event Manager for these requests, depending on your needs.

  • If you need a room as part of a Carter School event that will require further planning, please email tcsevent@gmu.edu. The Event Manager will be able to assess the needs of your event, and work with Events Management in Van Metre Hall to secure an appropriate space.
  • If you need this room for a one-time event for which you do not need the assistance of the Carter School Event Coordinator, you may make the room reservation yourself. Events Management requires that all room requests be made through them.

Reservations for some of the rooms in Van Metre Hall may require a fee for technology use, set-up and break down of spaces, as well as a housekeeping fee if your event involves catering. If you choose to use these spaces, these fees are your responsibility.

Fairfax Campus

If you would like to hold your event on the Fairfax campus, please contact Barbara Breckenridge for guidance and assistance in reserving a space. She may need to refer you to work with the Office of Events Management in Fairfax to reserve your spaces and negotiate any other needs:

Point of View - Lorton, VA

Point of View is the Carter School’s International Retreat and Research Center, located on 120 acres of beautiful wooded lands and wetlands with breathtaking views of Belmont Bay.  Less than 30 miles from Washington, DC and just 20 miles from Arlington and Fairfax, Point of View offers an ideal setting for conferences, retreats, high-level dialogues, workshops, as well as special events and celebrations.
